About the Role:
The Fleet Operations Specialist plays a pivotal role in the day-to-day performance, compliance, and system management of the company’s fleet and equipment. Acting as the second-in-command to the Fleet Lead, this role ensures the fleet is safe, compliant, cost-effective, and operationally ready at all times.
You’ll be responsible for managing compliance certifications, owning fleet systems and data integrity, coordinating maintenance schedules, supporting field staff with tools and PPE, and leading operational reporting and improvement initiatives. You’ll work closely with internal teams and external vendors to reduce downtime, identify risks, and implement smarter practices across the fleet.
Health and safety are a core responsibility, with an expectation of reporting all incidents, near misses, and observations accordingly.
Day to day you will:
- Fleet Compliance & Certification Management
- Ensure all vehicles, tools, and equipment meet compliance and certification requirements.
- Maintain accurate records of certification dates and coordinate renewal processes.
- Conduct audits to confirm regulatory and safety adherence.
- Maintenance & Risk Management
- Monitor fleet equipment & tooling health, identifying potential risks or issues.
- Coordinate with mechanics and vendors for maintenance and repairs.
- Report on fleet conditions, incidents, and required corrective actions.
- Inventory & Asset Management
- Track and manage fleet-related inventory, including consumables and spare parts.
- Oversee tool, material and PPE requests for field staff, ensuring availability.
- Manage PPE distribution in collaboration with the fleet lead.
- Fleet Systems & Operational Oversight
- Own fleet platforms (e.g., telematics, compliance systems, Fleetio) and ensure data integrity.
- Monitor and action safety alerts (e.g., speeding, fatigue, servicing) daily.
- Maintain dashboards and prepare monthly operational reports on fleet utilisation, downtime, cost, and safety.
- Operational Support & Coordination
- Facilitate efficient scheduling and availability of fleet assets.
- Optimize processes for asset utilization and cost-effectiveness.
- Assist with external hires and fleet expansions as needed.
- Stakeholder Communication & Collaboration
- Maintain strong relationships with 100+ stakeholders, including field teams, vendors, and leadership.
- Provide timely updates on fleet operations, issues, and resolutions.
- Support health and safety initiatives, including incident reporting and compliance adherence.
What experience you'll bring:
- Experience in fleet operations, logistics, or asset management.
- Strong understanding of compliance, certification, and risk assessment.
- Proficiency in fleet management software (e.g., Fleetio) and reporting tools.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Strong attention to detail and proactive approach to operational challenges.
